Scheduled reports

Send a report to the people who need it, automatically — every morning, every Monday, or on the first of the month. Each email starts with a short AI summary of what changed, so nobody has to dig through the numbers.

What you get

  • Reports emailed every day, on weekdays, weekly on a day you pick, or monthly on a day from the 1st to the 28th — at a time you choose.
  • Each person gets their own copy, worked out as them. They only see numbers they’re allowed to see.
  • A 2–5 point AI summary at the top of every email.

Email a report on a schedule

You can schedule a report if you own it, or if you’re a System Admin.

  1. Open the report in Dashboards → Reports and click Email.
  2. Tick Send it on a schedule.
  3. Under How often, choose Every day, Weekdays, Every week on a day, or Every month on the day you pick.
  4. Set the time. It uses your timezone, shown next to it, and stays right when the clocks change.
  5. Add people under Who gets it, and choose the AI for the summary.
  6. Click Save. The button changes to Emailed ✓, the panel shows when it goes out next, and the report shows how often it’s emailed and to how many people.

Who gets it

  • The report’s owner always gets it. Add up to 25 more people from your company.
  • People only get it if they can see the report. If a report is private (Only me), anyone else you add is skipped — the panel warns you. Share the report with a team or with everyone first.
  • If a widget uses connected data someone isn’t allowed to see — like Square or QuickBooks numbers kept to System Admins — their copy shows a short note instead of those numbers.
  • People who are inactive or have left the company are skipped.

The AI summary

Every email starts with a 2–5 point summary of what the report’s numbers say — the same summary you get with Explain on the report. It’s written from each person’s own copy, so it only covers what they can see.

  • Choose Worklynq’s default AI or another model your company has turned on.
  • Summaries use your company’s AI credits, like AI Search. If credits run out, the email still goes out without a summary and says why.
  • AI can be wrong, so the numbers are always in the email underneath the summary.

What’s in the email

  • The AI summary.
  • Each widget, in a form that reads well in email: the number, the top rows of a split, the latest 7 points of a trend, or the first items of a list.
  • A button to open the full report in Worklynq.

Emails come from your workspace’s own email settings.

Email yourself a copy

Anyone who can see a report can get it right now: click Email me a copy on the report (or Email me a copy now in the Email panel). It’s worked out as you, with the same AI summary.

Check the last send

Open Email on the report. Under Last send you’ll see when it went out, who it was sent to, who was skipped and why, and any that failed.

Change or stop it

Open Email on the report to change the schedule, the people, or the AI. To stop sending, untick Send it on a schedule and click Save.

Troubleshooting

Someone didn’t get the email
Check Last send. If they were skipped because they can’t see the report, share it with them (or with a team they’re in). Also ask them to check their spam folder.
The email has no summary
Your company is out of AI credits. The email explains this; the numbers are still there.
A widget says the person can’t see its data
That widget uses connected data, like Square or QuickBooks, that’s kept to System Admins. A System Admin can share it in Dashboards → Connected data.
I don’t see the Email button
Only a report’s owner or a System Admin can schedule it. Everyone else sees Email me a copy. Dashboards can’t be scheduled — only reports.
