Square
Connect your Square point of sale so Worklynq can show sales, orders, and refunds for each of your stores on your dashboards and reports, put each store’s Square orders on its Order Tracking board and TVs, and clock staff in and out when their shifts start and end. Apart from those timecards, Worklynq only reads from Square — it never takes payments or changes anything else in your Square account.
What it does
- Connects your company’s Square seller account to Worklynq, once, for the whole company.
- Links each Square location to the matching store in Worklynq, so sales line up with the work happening there.
- Adds a Square sales widget to Dashboards and Reports: sales, orders, average order, refunds, and items sold — by store, item, payment type, day, or hour.
- Shows each store’s open Square orders on its Order Tracking board and TV screens.
- Clocks people in and out on Square when they start and end a shift in Worklynq.
What Worklynq uses
| From Square | Why |
|---|---|
| Your business profile and locations | To link Square locations to your stores |
| Orders, payments, and refunds | Sales, orders, and refunds on your dashboards |
| Items, inventory, and customers | Items sold today; more to come |
| Team members and timecards | Matching staff by email, and clocking them in and out from their shifts — the only thing Worklynq writes to Square |
Everything except timecards is read-only. Worklynq can’t take payments, issue refunds, change prices or items, or edit orders in Square. It only creates and closes a timecard for the person starting or ending their own shift, at the current time.
Before you start
- You need to be your workspace’s System Admin.
- You need to sign in to the Square account that owns your locations, with permission to approve apps for it.
- Add your stores in Worklynq first (see Set up how you organize work), so you can link each Square location to one.
Connect Square
- In Worklynq, open the Admin console → Connectors → Integrations and choose Square.
- Review what Worklynq will read, then click Continue to Square.
- Sign in to Square and approve access.
- You’re taken back to Worklynq. Square shows as Connected with your Square account and its locations.
Link your locations
Right after connecting, you’ll see your Square locations. For each one, choose the Worklynq store it belongs to, then click Save mapping.
- A location you don’t link shows as Not linked. A dashboard for a store only shows sales from the Square locations linked to it.
- Locations that are inactive in Square are marked Inactive.
Name your Worklynq stores the way your team knows them — “Downtown café”, “Riverside” — so the mapping is obvious.
Check the connection
Under Last 7 days, click Show sales. You’ll see completed orders, sales, and refunds for each location and for all locations together, straight from Square. If the numbers look right, you’re set.
Square in dashboards
In Dashboards or Reports, add a Square sales widget and choose:
- What to show: sales, orders, average order, refunds, or items sold.
- How to split it: by location, item, payment type, day of the week, or hour of the day.
- How to show it: a number, bars, a trend over time, or a table.
- When: any range from today to the last 12 months.
Pin a dashboard to one store, and its Square widgets show only that store’s linked locations — a dashboard per store, with sales right next to its checklists and requests.
Numbers come from completed Square orders and can be up to 5 minutes behind. Days and hours follow each Square location’s own timezone. If your locations use more than one currency, only your main currency is counted, and the widget says so.
Square orders on boards and TVs
Once a store is linked to its Square location, the store’s recent Square orders appear on its Order Tracking board and on its TV screens, next to your Worklynq orders. They’re read-only in Worklynq: staff move them along in Square, and Worklynq follows. See Order Tracking.
Clock in from shifts
When someone starts a shift at a linked store, Worklynq clocks them in on Square, and clocks them out when the shift ends. They need to be an active Square team member with the same email as their Worklynq sign-in. If not, the Worklynq shift still starts and notes why it didn’t reach Square. Breaks stay in Worklynq for now.
Who can see sales
By default, only System Admins can use Square widgets. To share them, a System Admin opens Dashboards → Connected data and sets Square to everyone in the company. Widgets always run as the person looking, so on a shared dashboard, people who aren’t allowed to see Square data see a note instead of the numbers.
Keep it up to date
- Opened a new location in Square? Click Refresh from Square, then link it to its store.
- You don’t need to reconnect. Worklynq keeps the connection fresh on its own, even if it isn’t used for a while.
Disconnect
Open Square in Admin console → Connectors → Integrations and click Disconnect. Worklynq stops reading from Square, its access is revoked at Square, and Square widgets stop showing data. You can also remove Worklynq in your Square account under Apps.
Troubleshooting
- Square shows “Needs attention”
- Worklynq’s access was removed or stopped working — for example, someone removed Worklynq under Apps in Square. Disconnect and connect again.
- “No locations found in this Square account”
- You signed in to a Square account without locations. Disconnect, then connect again with the account that owns your stores.
- A store’s dashboard shows no Square sales
- Link that store to its Square location under Link your locations.
- “Square isn’t set up on this Worklynq server yet”
- Contact us at info@cohesync.com and we’ll turn it on for your workspace.
- Shifts say “Square needs to be reconnected”
- Square was connected before clock-ins were added. A System Admin disconnects and connects Square again to allow them.
- Someone’s shift didn’t clock them in on Square
- Check that the store is linked to its Square location and that their Square team member uses the same email as their Worklynq sign-in.
- A new location is missing
- Click Refresh from Square.
