QuickBooks
Connect QuickBooks Online so your dashboards and reports can show profit and loss, invoices, and open balances next to the work that drives them. Worklynq only reads from QuickBooks — it never creates, changes, or sends anything there.
What it does
- Connects your company’s QuickBooks Online company to Worklynq, once, for the whole company.
- Adds two widgets to Dashboards and Reports: QuickBooks profit & loss and QuickBooks invoices.
What Worklynq reads
- Your company name, currency, and fiscal year
- Your profit and loss report
- Your invoices and their balances
All access is read-only. Worklynq can’t create invoices, record payments, or change anything in QuickBooks.
Before you start
- You need to be your workspace’s System Admin.
- You need QuickBooks Online (not QuickBooks Desktop), and a QuickBooks user who can connect apps to the company — usually the company admin.
Connect QuickBooks
- In Worklynq, open the Admin console → Connectors → Integrations and choose QuickBooks.
- Review what Worklynq will read, then click Continue to QuickBooks.
- Sign in to QuickBooks, choose your company if you have more than one, and approve access.
- You’re taken back to Worklynq. QuickBooks shows as Connected with your company’s name and currency.
QuickBooks in dashboards
In Dashboards or Reports, add a QuickBooks widget:
| Widget | Shows | Split by |
|---|---|---|
| QuickBooks profit & loss | Income, cost of sales, gross profit, expenses, net income — as a total or a trend by day, week, or month | Account (income, cost of sales, or expenses) |
| QuickBooks invoices | Amount invoiced, open balance, overdue balance, number of invoices | Customer, or status (open, overdue, paid); by invoice date or due date, including invoices due in the next 7 days |
- Profit and loss uses your QuickBooks reporting settings (cash or accrual), and weekly columns follow QuickBooks’ weeks, so the numbers match your QuickBooks reports.
- Invoice lists link straight to each invoice in QuickBooks.
- Numbers can be up to 5 minutes behind QuickBooks.
Put a profit and loss trend next to your store or project dashboards to see how the work and the money move together.
Who can see the numbers
By default, only System Admins can use QuickBooks widgets. To share them, a System Admin opens Dashboards → Connected data and sets QuickBooks to everyone in the company. Widgets always run as the person looking, so on a shared dashboard, people who aren’t allowed to see QuickBooks data see a note instead of the numbers.
Stay connected
- Worklynq keeps the connection fresh on its own — there’s nothing to do day to day.
- A QuickBooks connection lasts up to five years. When it’s within 30 days of ending, the QuickBooks window shows the date with a Reconnect now link, and QuickBooks also warns you 30 and 7 days before.
- Changed your company name, currency, or fiscal year in QuickBooks? Click Refresh from QuickBooks.
Disconnect
Open QuickBooks in Admin console → Connectors → Integrations and click Disconnect. Worklynq’s access is revoked at QuickBooks, and QuickBooks widgets stop showing data.
Troubleshooting
- “QuickBooks needs to be reconnected” or “Needs attention”
- The connection ended or was removed in QuickBooks. Click Reconnect QuickBooks and approve access again.
- The numbers don’t match a QuickBooks report
- Check the report uses the same dates and the same cash or accrual setting as your QuickBooks company. Recent changes can take up to 5 minutes to show.
- Some invoices seem to be missing
- Only invoices in your company’s home currency are counted.
- “QuickBooks isn’t set up on this Worklynq server yet”
- Contact us at info@cohesync.com and we’ll turn it on for your workspace.
